User guide

How to use Calandora on the website and in the iPhone and Android app. Topics marked App only or Website only apply to just one of them.

Getting started

Calandora keeps your calendar, notes and tasks together, and in sync between the iPhone and Android app and the website at calandora.com.

Create an account

  1. Tap Create an account on the sign-in screen.
  2. Enter your email address and choose a password.
  3. We email you a 6-digit code. Type it into the Confirmation code box and tap Confirm account.

Tip: The code only works once and expires after a short while. If it has expired, start again to get a new one.

"An account with this email already exists"

Our apps share one sign-in, so your email may already have an account from another CJ Designs app. You can use that account in Calandora: sign in with the same password.

If you don't know that password, use Forgot password? to set one.

Forgot your password

There's no way to change your password while signed in. Use Forgot password? instead.

  1. On the sign-in screen, tap Forgot password?
  2. Enter your email address and tap Send reset code.
  3. Enter the 6-digit code from the email and choose a new password.

Finding your way around the app

App only

The bar at the bottom has Today, Calendar, New, Notes and Tasks. New lets you quickly create an event, note or task from anywhere.

Search and Settings are on the Today tab: use the magnifier and gear icons at the top, or the tiles on the page. Sign out from the icon at the top of the Today tab.

Finding your way around the website

Website only

The menu on the left (or along the top on a small screen) has Today, Calendar, Notes, Tasks, Favourites, Search, Settings, Account and Help. Sign out is at the top right.

Today lists the tasks due today and has a + New menu for creating an event, note or task.

Using the app offline

App only

The app works without a connection. Anything you add or change is saved on your phone and synced as soon as you're back online.

If changes are waiting to sync, a bar appears above every tab, such as "2 changes pending sync". Tap it to open Sync status, where Sync now sends them straight away.

Tip: If an item couldn't sync, Sync status lists it with Retry and Discard.

Calendar

Switching views

App only

Choose Month, Week, Day or Agenda at the top of the Calendar tab. Agenda lists the next 30 days.

Use the arrows at the top to go back or forward, and the calendar icon to jump to today. In Month view you can also swipe left and right. In Week view, tap a day's heading to open it in Day view.

Website only

Use the month, week, day and list buttons above the calendar. List shows the events for one week.

Use the arrows and today to move around, or pick a date in the small month calendar in the sidebar.

Add an event

Timed events can use a different Time zone, for example a meeting in another country.

  1. App: tap the + button, tap an empty time, or tap Add event under a day in Month view. Website: click + New event, click or drag across the calendar, or press N.
  2. Enter a Title and choose the calendar.
  3. Set when it starts and ends, or turn on All day.
  4. Optionally add a location, web link, description, reminders or a repeat.
  5. Save.

Tip: Attachments and linked items can be added once the event has been saved: open it again to add them.

Repeating events

App: turn on Repeat, then choose Daily, Weekly, Monthly, Yearly or Weekdays (Mon–Fri). You can set "every N", pick days of the week, and choose when it Ends: never, after a number of times, or on a date.

Website: tick Repeats in the Recurrence section and set how often, which days, and when it ends.

On the website the repeat pattern can only be set when you create the event. To change it later, use the app and save with Entire series.

Changing or deleting one occurrence of a repeating event

When you save a change to a repeating event, you're asked what to change: This event, This and future events, or the whole series (Entire series in the app, All events in the series on the website).

When you delete one, you can delete This event only, or the whole series.

Moving events with the mouse

Website only

Drag an event to a new day or time, or drag its bottom edge to change how long it lasts. For a repeating event you're asked which occurrences to move.

Event reminders

Add as many reminders as you like to an event: at the time of the event, or a set time before it. You can also choose a custom date and time.

The website also offers 2 hours, 2 days and 1 week before. Reminders appear as notifications on your phone.

Tip: A reminder shows the event's title on your lock screen.

Create, hide, rename or delete calendars

App only

Deleting a calendar also deletes every event on it. It can't be undone.

  1. On the Calendar tab, tap the three-dot menu and choose Manage calendars.
  2. Tap + to add a calendar with a name and colour.
  3. Use the checkbox next to a calendar to show or hide its events.
  4. Use the menu next to a calendar to Edit its name and colour, Export .ics, or Delete it.

Create, hide or delete calendars

Website only

In the sidebar under My calendars: + New creates a calendar with a name and colour, the checkbox shows or hides a calendar's events, and each calendar has Export and Delete buttons.

Deleting a calendar also deletes every event on it. It can't be undone. Calendars can be renamed or recoloured in the app.

Import or export calendars (.ics)

Export: in the app, use the Calendar tab's three-dot menu or Settings. On the website, use the calendar sidebar or Settings. You can export one calendar or all of them as a standard .ics file.

Import: choose Import calendar (.ics), pick the file and choose which calendar to add the events to. You see a summary, including anything that can't be imported, before you confirm.

Tip: Most calendar apps, including Google Calendar and Outlook, can export an .ics file.

Tasks on the calendar

Tasks with a due date appear on the calendar alongside your events.

App: tap a task to tick it off, and tap again to undo. Website: click a task to mark it complete. To reopen it, go to Tasks.

Notes

Write a note

App: tap + on the Notes tab, or New then Note. Website: click + New note or press N on the Notes page.

Notes save automatically as you type. The status shows Saving… and then Saved.

Formatting

Use the toolbar for headings, bold, italic, underline, bulleted and numbered lists, checklists and links, with undo and redo. The website also has strikethrough.

Folders and tags

Put a note in a folder, and tag it, from the note itself. Create, rename and delete folders and tags from the Notes screen: the Folders and Tags icons in the app, or the sidebar on the website.

Deleting a folder doesn't delete its notes. They become unfiled.

Pin, favourite and archive

In a note, use the star to add it to favourites, the pin to keep it at the top of the list, and archive to tuck it away without deleting it.

In the app, find archived notes with the Archived filter on the Notes tab. The website doesn't show archived notes, so unarchive them in the app.

Finding notes

Search your notes with the search box on the Notes screen. Filter by favourites, folder or tag, and use Sort to order by last updated, created or title. Pinned notes always stay at the top.

Deleted notes and Trash

Deleted notes go to Trash, where you can Restore them. In the app, tap the Trash icon at the top of the Notes tab. On the website, it's in the Notes sidebar.

"A sync conflict was found for this note"

This appears if the same note was changed on two devices before they synced. Nothing is lost: tap View / recover your version to see both versions, then Keep current version or Restore this version.

Tasks

Add a task

App: tap + on the Tasks tab, or New then Task. Website: click + New task, use + New on Today, or press N on the Tasks page.

A task can have a description, a list, a due date and time, a start date, a priority (None, Low, Medium or High), tags, a reminder and a repeat.

Task reminders

The reminder choices depend on the due date. With no due date, you can pick a custom date and time. With a due date only, you can also choose On due date (9:00am). With a due date and time, you can choose the due time or a set time before it.

Repeating tasks

When you complete a repeating task, it moves on to its next due date rather than creating a new copy.

Complete a task

Tick the checkbox next to a task. Completed tasks are listed under Completed.

Filtering tasks

Use Today, Upcoming, Overdue, No date, Completed, Favourites and all tasks to narrow the list, or filter by list or tag.

Task lists

Group tasks into lists, such as Work and Home. Create, rename and delete lists from the Task lists icon in the app, or the Tasks sidebar on the website. Deleting a list moves its tasks to another list.

Deleted tasks and Trash

Deleted tasks go to Trash, where you can Restore them. In the app, tap the Trash icon at the top of the Tasks tab. On the website, it's in the Tasks sidebar.

Search and favourites

Favourites

Notes and tasks can be starred as favourites. In the app, use the Favourites filter on the Notes and Tasks tabs. The website also has a Favourites page showing both together.

Settings and your data

Light and dark mode

Choose System, Light or Dark. In the app, go to Settings and tap Theme. On the website, go to Settings and use Appearance. Your choice applies on all your devices.

Notifications and default reminder

App only

Settings shows whether reminders are allowed, with Open notification settings to change it.

Default reminder is pre-selected whenever you create a new event or task.

On Android, allow Alarms & reminders when asked so reminders arrive at the exact time.

Export and back up your data

In Settings, under Data, you can export your calendars (.ics), your notes, your tasks, or a full backup of everything, including attachments. Files are saved wherever you choose. We never receive a copy.

Restore a backup

Choose Restore full backup in Settings and pick a backup file. You see what it contains before anything is added.

Restoring adds everything from the backup into your account. It never overwrites or deletes what's already there.

Sign out

App: tap the sign-out icon at the top of the Today tab. If some changes haven't synced yet, you're warned first. Signing out removes your data from that phone. It stays safe in your account.

Website: click Sign out at the top right.

Delete your account

App: Settings, then Account, then Delete account. Website: Account, then Delete account…, and type DELETE to confirm.

This permanently deletes your account and everything in it, including attachments. It can't be undone, so export a backup first if you want to keep anything.

If you use the same email in another CJ Designs app, deleting your account also removes it, and your data, from those apps. To leave only Calandora, email support@cjdesigns.app.

On the website, press ? at any time, or click the ? button in the bottom corner, to see these shortcuts.

N: new event, note or task, on the Calendar, Notes and Tasks pages.

?: show the shortcuts list.

Esc: close the open window.

Tip: Shortcuts don't work while you're typing in a box or have a window open.
